Terms and Conditions

River Valley Travels AB (“River Valley Travels”) accepts bookings subject to the conditions below. 

  1. River Valley Travels and the services

    River Valley Travels offers guided tours in various forms, including but not limited to guided transfers, food tours, northern lights tours, tailor made chauffeur services at different locations in Sweden, Norway and Finland.

  2. Definitions

    The below definitions apply to these terms and conditions:

    “River Valley Travels” means River Valley Travels AB, a company registered in Sweden with the registration number 559385-0463, whose registered office is at Norra Prästholm 163, 95591 Råneå, and or any subsidiaries thereof.

    “Agent” is the company making the booking of a Service for him/herself/itself or on the behalf of others.

    “Clients” are the participants participating in the Service booked.

    “Agreement” refers to these terms and conditions in this Agreement.

    “Services” means the guided tours provided by River Valley Travels.

    “Terms” means these terms and conditions.

    River Valley Travels, the Agent and the Client are referred to jointly as the ”Parties” and individually as a ”Party”

  3. Applicability

    These Terms constitute the Agreement and understanding between the Agent and River Valley Travels.

    By booking the Services, you acknowledge that you have read and considered these Terms and you accept the application of the Terms. These Terms must be read carefully before booking the Services as they contain the limitations of River Valley Travels’ liability to the Parties and they affect the Parties’ liabilities and rights under the applicable law. Only the Agent can make amendments to the booking made with River Valley Travels.

    The booking, once accepted and confirmed by River Valley Travels in writing, represents a binding contract between Agent and River Valley Travels. The acceptance of these Terms is a prerequisite in order to at all be able to partake in the Services and supersede any arrangement between the Agent and River Valley Travels.

    Terms may be changed, modified, amended or terminated by River Valley Travels at any time and for any reason, without obtaining the Agent's approval in advance. An updated version of the Terms will be published on the Website and starts to apply immediately upon the date indicated in the updated version of the Terms. If the booking or use of the Services takes place after an updated version of the Terms was published, the Agent will be deemed to have accepted the new Terms.

  4. Personal data

    The booking of the Services requires that River Valley Travels processes personal data about the Client. By booking the Services such processing is acknowledged and accepted. River Valley Travels will use the personal data to provide the Services, and where necessary to submit personal data to third parties. River Valley Travels processes personal data strictly according to applicable regulatory frameworks governing the processing of personal data and in accordance with River Valley Travels’s Privacy Policy.

  5. Requirements for participating

    Clients must adhere to the instructions and safety instructions provided by River Valley Travels at all times.

    River Valley Travels may also at its own discretion require a Client to withdraw from the Services if River Valley Travels deems the Client’s conduct to be offensive or to cause annoyance or danger to other clients or River Valley Travels’ staff. River Valley Travels has no further liability for the carriage of such Clients. River Valley Travels will in case of the Client’s withdrawal due to misconduct during the Service not provide any refund and invoice the entire cost of the Services.

    It is the Client’s responsibility to ensure they meet the health and vaccination requirements applicable to travel to the destination.

    It is the Agent’s responsibility to inform River Valley Travels of any pre-existing medical conditions and/or disabilities among the Clients that could be expected to affect the conduct of the booked Services. If no such information has been provided latest 10 days prior to the Service commencing, River Valley Travels will consider the booking as a confirmation that the Clients are fit to partake in the Services.

  6. Prices

    Prices for the Services are valid as communicated in the booking email. 

    The prices are presented in SEK (Swedish Kronor).

    All prices include value-added tax. (VAT)

    River Valley Travels reserves the right to change any of the prices published on the Website (if applicable) and update any price list shared with Agents prior to booking.

    River Valley Travels guarantees no changes in the prices of confirmed Services unless otherwise communicated during the booking process.

  7. Payment

    The Agent is responsible for the booking, paying the deposit (if applicable) and the full price, making any

    amendment and cancellation requests, for paying any additional charges in relation to the booking and for all

    other matters concerning the booking.

    Payment is made by invoice.

    Following conditions apply:

    Single bookings:

    The billing is made after the Services are provided. In the event of late payment, the Booker will be charged a reminder fee in accordance with law and as set forth in the invoice.

    Multiple day bookings:

    25 % of the total is invoiced upon booking. The remaining balance is due 31 days prior to commencement of the services. In the event of late payment, the Booker will be charged a reminder fee in accordance with law and as set forth in the invoice.

    River Valley Travels reserves the right to amend these payment terms if necessary, Agent will be notified by email upon booking if these payment terms are amended.

    The invoice is due 10 days after receival or as indicated on the invoice.

  8. Cancellation

    All cancellations must be made in writing to info@rivervalleytravels.com

    The date of the cancellation shall be when River Valley Travels receives it in writing.

    Amendments of the Services in case the Services have commenced:

    Following receival of the booking confirmation from River Valley Travels, Agent is liable for any non-refundable costs borne by River Valley Travels in case of cancellation.

    The following cancellation fees apply to Services booked: 

    • Over 31 days prior to commencement of the Services booked, 25% of total will be invoiced.

    • Over 14 days prior to commencement of the Services booked, full total will be invoiced. 


    Day 1 is the day prior to the commencement of the Services.

    In the event that a Client cancels part of their booking while the Service is commencing, no refund will be due to the Agent.

  9. Changes in the Services and cancellation by River Valley Travels

    River Valley Travels may at its own discretion cancel, change or reschedule the Services after prior notice to the Agent:

    • in exceptional cases of bad weather, such as black ice, abnormally low temperatures, storms, thunderstorms, heavy rains etc in order to keep the Clients safe, or

    • if the scheduled guide is ill and River Valley Travels cannot find a substitute guide.

    If River Valley Travels cancels or reschedules the Service according to the above exceptional cases, the Client can choose to:

    • get a full refund for the canceled or rescheduled Service, or

    • to reschedule the Service at another time according to availability.

    River Valley Travels will not be liable for any further claims.

  10. Force majeure

    In the event that a Service, or any part of it, cannot be delivered, due to a Force majeure event (as defined below) or any act or omission beyond River Valley Travels’ control, River Valley Travels cannot be held liable for any claims or damages of any kind.

    1. floods, earthquakes, hurricanes or other extreme weather conditions, fire, sabotage, civil commotion, malicious damage, war, rebellion, pandemics, revolution, blockades, embargoes, government regulations, quarantine restrictions or interruption of power supply

    2. delay or failure to obtain any permit, authorisation, approval or acknowledgement, despite proper and timely reasonable endeavors to obtain the same.

    Provided that a Force Majeure event was beyond the reasonable direct or indirect control, and without the fault or negligence of the Client claiming Force Majeure and which directly resulted in River Valley Travels’ inability, notwithstanding all reasonable efforts, to perform its obligations in whole or in part. Any such event is referred to as “Force Majeure”. Force Majeure also covers situations in which Sub-Contractors or third Parties with whom River Valley Travels cooperates are prevented from fulfilling its obligations due to a Force Majeure event.

    Where either Party considers that any circumstances of Force Majeure have occurred which may affect the performance of its obligations it shall promptly notify the other party thereof. Upon the occurrence of any circumstances of Force Majeure, the parties shall endeavor to continue to perform their obligations under the Agreement so far as reasonably practicable.

    Unless otherwise stated in this Agreement, any claims against River Valley Travels must be brought within a reasonable time after the loss was discovered or should have been discovered. In normal cases, a reasonable time means fourteen (14) days. In the event Agent has not asserted a claim for compensation against River Valley Travels within the prescribed time, the client’s right to assert the claim shall be forfeited.

  11. Travel insurance

    River Valley Travels recommends their Clients obtain comprehensive travel insurance.

    It is the clients responsibility to ensure that any insurance cover they have, provides adequate cover for their needs and Services booked. In all Services that we offer, the Client participates at own risk.

  12. Dispute 

    Swedish law will be applicable with respect to conflicts that may arise as a result of this Agreement.
